New Teams Sub-Users Feature for Tenancy Tools

The Guild of Residential Landlords is excited to announce the launch of a brand-new feature for our popular Tenancy Builder and Tenancy Manager tools—Teams Sub-Users! This innovation is designed to make property management more collaborative and efficient, allowing landlords and agents to delegate tasks and streamline workflows within their teams.

Whether managing a growing portfolio or running a letting agency, Teams Sub-Users is here to transform how you handle tenancy creation and management. Here's everything you need to know about this powerful new feature:

What Are Teams Sub-Users?

The Teams Sub-Users feature allows primary account holders to create sub-user accounts with tailored permissions. These sub-users can:

  • Access Tenancy Builder and Tenancy Manager to create and manage tenancy records.
  • Depending on the permissions set, users can View either their own records or a combination of their records and the parent account's records.
  • Add new tenancies and update other key data points within the system.

When are sub-users available

Guild subscribers to the landlord's annual plan receive one free sub-user account, and subscribers to the agent plan receive three free sub-users.

How to Set Up a Sub-User

Adding a sub-user is straightforward. Here's a step-by-step guide:

  1. Navigate to the Sub-Users Tab
Log in to your Guild account area and go to the Sub-Users tab under the account settings. Click New Record to start.
  2. Enter Sub-User Details
Fill in the required fields, including username, name, password, and email address.
  3. Assign Groups and Permissions
  • In the "Groups" field, select "Guild and Tenancy Builder Sub-user."
  • Configure permissions to determine whether the sub-user can view only their records or all records within the account.
  1. Save the New Sub-User
Once the details and permissions are set, click Save to finalise.
  2. Access and Begin Collaboration
The sub-user can now log in with their credentials to access Tenancy Builder and Tenancy Manager. Depending on their permissions, they can view and manage records efficiently.

Enhanced Collaboration Across Teams

This feature allows landlords and agents to involve team members in tenancy management without compromising security or access control. By customising permissions, you can ensure each sub-user has the tools they need to perform their role while safeguarding sensitive data.

Key Benefits of Teams Sub-Users

  • Improved Workflow: Delegate specific tasks to team members without micromanaging.
  • Data Security: Manage permissions to control what each sub-user can see and do.
  • Time Efficiency: Sub-users can directly input data, saving the account holder valuable time.
  • Scalability: Whether you're a solo landlord expanding your portfolio or an agency with multiple staff, Teams Sub-Users grows with your needs.
