A new feature is now live in Tenancy Manager: Email Campaigns.
It is built to help landlords and agents send tenancy-related documents and notices in bulk via email, with a separate delivery report for each recipient. If you need to contact multiple tenants about the same issue and keep evidence of what was sent, this is for that.
The name may sound like a marketing feature, but that is not the intention here.
Email Campaigns is a compliance and portfolio management tool for communicating with your current or former tenants. It is there for tenancy administration, record keeping and evidence of service. It is not a bulk marketing channel, a mailing list builder, or a promotional newsletter system.
The main use cases are legal and administrative.
That includes serving statutory documents by email where appropriate, such as the Information Sheet 2026 in England under the Renters' Rights Act, or a statutory variation statement following a legislative change in Wales.
It can also be used for routine but important portfolio-wide communications, for example:
The process is simple.
You can add recipients manually or upload them via CSV, with up to 200 recipients per campaign. You then compose the email subject and body, attach a PDF, and send it.
Each recipient receives an individual email, and Tenancy Manager generates a delivery report PDF for each one. Those reports can be downloaded and kept on file as evidence of service.
There is also a useful shortcut elsewhere in the system. In the Rents view, the Bulk Actions menu includes a Copy Tenant Service Emails option, which copies the selected tenants' service email addresses to your clipboard for quick pasting into a campaign.
This is not a mass mailing tool in the consumer marketing sense. It is a way to handle repeat tenancy communications without losing the audit trail.
For landlords in England, the most urgent current requirement may be to serve the Information Sheet 2026 on existing tenants by 31 May 2026 under the Renters' Rights Act 2025.
