How to Add a Tenancy to the Rents Table in Tenancy Manager
This article provides a step-by-step guide for adding a tenancy from Tenancy Builder to the Tenancy Manager system. This enables you to track rents, inspections, and other management features.
Steps for Adding a Tenancy:
Enable Tenancy Manager
On the last page of the Tenancy Builder, toggle the option to add the tenancy to the Tenancy Manager.
Verify Rent Details
Confirm the rent figure, the first full payment date, and that the rent period (for example, monthly) is appropriate for the tenancy before saving.
Set the Next Rent Due Date
Enter the date for the next rent due. Ensure this date is in the future. The system will automatically use this date to populate new rents in the Rents table.
Example to help choose the correct next rent due date to enter:
If today is 10 July and your rents are payable on the 20th of every month, enter 20 July for the next rent due date.
If today is 10 July and the rent is payable on the 1st of every month, the next rent due date will be 1 August.
The date must always be set in the future. Our system uses this date to determine when to add a new Rent Due record to the rents table. When the date arrives, the system automatically creates this record and then updates the next rent due date to the following month.
Save Your Changes
Choose "Save for Later" if you don't require a PDF tenancy agreement.
Select "Save and Build" to generate a PDF tenancy agreement.
Enabling Tenancy Manager for an Existing Tenancy:
Navigate to the Tenancies List
Locate the existing tenancy and click the actions button next to it.
Enable Tenancy Manager Features
Select "Enable Tenancy Manager Features."
Review and Adjust Rent Details
As with new tenancies, check the rent figure, first payment date, and that the rent period is appropriate for the tenancy. Update the next rent due date as required.
Save the Updated Tenancy
Click "Save" to finalise changes.
Viewing and Managing Rents:
Access Rents in Tenancy Manager
Navigate to the "Rents" section via the sidebar menu.
Check Rent History
Expand the rent history tab by clicking the small triangle next to the tenancy. Initially, this may appear empty until the system adds new rents. You can manually add due and payment amounts if needed.
